'Prevent Payment' in Payroll

This article explains why some employees will be exported to Payroll with 'Prevent Payment' flagged to 'Yes'.

Employees who are set to be paid for contracted hours or shifts will show as negatively paid, while employees set to be paid for hours or shifts worked show as positively paid and will export to Payroll as 'Prevent Payment'.

The 'Prevent Payment' setting in the Payroll software ensures that employees who submit payroll claims or timesheets will only be paid for what they submit. Otherwise, they would be paid for what they submit as well as the salary that has been added on Education People.

πŸ“Œ Note: 'Prevent payment' is a feature of the Payroll software, which is separate from Access Education People. This message will not be displayed anywhere on employee profiles in Access Education People.


In order to make sure that employees are paid correctly and that the 'Prevent Payment' setting is only in place for the employees that need it, the payment method on Education People needs to be correctly selected.

  1. Search for the employee using the search icon and go to their profile.

  2. Click the Payroll tab and then click Pay.

  3. Click Pay History and then click each salary line in order to view it.

  4. In the Basic Pay Details section, click Edit next to Paid.

  5. If the employee needs to be paid based on their salary and contracted days/hours, select For contracted hours or shifts.

  6. If they need to be paid based on the claims they submit, select For hours or shifts worked and then the relevant option:

    • Hours from Rota

    • Hours from Timesheet

    • Payroll Claims

  7. Click Done and Save.

If an employee should be paid based on the number of contracted days/hours and you are being advised by your Payroll Agent that they have a 'Prevent Payment' message in Payroll, follow the steps above to make sure that For contracted hours or shifts has been selected.
