Set up a new starter

Follow these steps to add a new employee to the sytem.

Permissions needed

To add new starters you will need the permission 'HR People' (view and add) which can be added for you by your manager or any System Owner user by following the steps in our article on adding permissions.

You will also need access to the section and subsection the new starter needs to be added in. These permissions can be added for you by following the guidance in our article on access to sections.


Add a new starter

  1. Go to Admin Menu and click All Employees.

  2. Click Add Person in the top right corner.

  3. On the Profile page, add in the name, date of birth, NI number and continuous service date.

  4. Fill in any other mandatory fields as needed.

  5. To progress to the next stage, click Next.

  6. On the Sensitive Info page, add in the Ethnicity and Disability information and click Next.

  7. Select the new starter's nationality and enter their right to work details, then click Next.

  8. Expand the organisation structure and click the post the employee needs to be in, then click Next.

  9. Enter the start date of the current post you've just selected in the Start Date field.

  10. Select the Contract Basis, Contract Type and Payroll.

  11. Fill in any other mandatory fields as needed and click Next.

  12. Select a working pattern template or choose to inherit it from the post's setup, then click Next.

  13. On the Salary page, select the grade and payscale the employee needs to be paid on by clicking on the Grade and Payscale dropdowns.

  14. Select either Salary or Hourly from the Payroll Type dropdown depending on how the employee is paid.

  15. Enter the contract days and hours in the Contract Days and Contract Hours fields.

  16. Enter the number of worked weeks in the first field of the Term Time Fraction section and the number of weeks in year in the second field.

  17. Click Next.

  18. Enter the employee's work email address in the Work/Workspace Email field and click Next.

  19. (Optional) Create a probation period if needed by ticking the Create Probation box.

  20. When all details have been added, click Submit.

πŸ‘ Tip: It is recommended to enter the new starter's Contract Type, Ethnicity and Disability details as these are mandatory fields for the School Workforce Census and entering them at this stage will make it easier when setting everything up for the SWC.

πŸ“Œ Note: If you do not know the employee's NI number at this stage, select Not Provided and then a reason from the Reason dropdown.
