Permission needed
In order to see the Transfer Employee/Change Post button you will need the permission 'Employee Posts' which can be added for you by your manager or any user with System Owner rights by following the steps in our article on adding and removing permissions.
Transfer an employee to a new post
Search for the employee and go to their profile.
Click Employment and then Position.
Click Transfer Employee/Change Post.
Enter the start date of the new post in the Start Date field at the top.
Expand the organisation structure on the left and click the post in which the employee needs to be transferred to.
Click Next.
Enter the employment details either by selecting Inherit From Post (which will pull through contract options as per the post's settings) or Customise from Current Details (which will allow you to enter custom details).
Click Next.
Select a working pattern and click Next.
Select the employee's salary as needed, making sure to choose the correct grade and payscale and to enter the correct number of contract days and contract hours, then click Next.
Select the correct holiday entitlement for the employee, which again can be either inherited from the post or customised.
Once all details have been selected correctly, click Submit.
If the new post has already started, the employee's job title will change immediately. If the post starts in the future, their post title will change once the new post begins.
You can see a timeline of the employee's posts by clicking on Position History on this same page.
π Note: The employee's line manager will not receive an email when the transfer has been completed, as this does not work the same as when a new starter is added to the system.
Change an employee's current post if it has been added incorrectly
Search for the employee and go to their profile.
Click Admin and then Edit an existing post/position.
Click the post you need to change and make the necessary changes.
Click Save.
β
This change won't appear in Position History as you have edited an existing post rather than adding a new one.
