Sync Status
After setting up the integration, you may notice that there are now cloud icons beside the names of individuals in the staff list. This cloud will either be grey, or red.
When the cloud icon turns red, you can hover over it and it will show information about what has errored and needs your attention. This could be due to one of several causes:
Person or Staff ID errors
If you have permission to Manage MIS IDs, you can go to Employee > Person > MIS Integration where you will see a list of the MIS ID records they have for a particular MIS Integration.
If there is no error with the record, then no cloud icon will appear. A red cloud icon will only appear when there is an issue with the record.
If there is a red cloud icon, please contact Access support with any relevant screenshots and details of the error you are getting when you hover over the red cloud icon.
Contract errors
If you have permission to Manage MIS IDs, you can go to Employee > Employment >Teacher > MIS Records where you will see a list of the MIS ID records they have for a particular MIS Integration and their Contract details.
If there is no error with the record, then no cloud icon will appear. A red cloud icon will only appear when there is an issue with the record.
If there is a red cloud icon, please contact Access support with any relevant screenshots and details of the error you are getting when you hover over the red cloud icon.
MIS Integration errors
If for whatever reason your MIS Integration has a status of Error, this may be because the record in Bromcom for your school no longer exists, and the integration can no longer find it. In this scenario, the integration will no longer run, and you may have to remove the integration and start again. In this situation, please ensure you contact Access support so they can assist you in this process.
FAQs
Q: My integration is stuck on ‘Awaiting Approval’ and the system says no API Key has been found.
A: This is because the API Key must be added to the system by a support person. Please contact Access support to get your API Key set up and added to the system.
Q: What data is shared?
A: All fields submitted from our system can be found here. Other than that, the only personally identifiable information we retrieve from Bromcom are employees’ NI Numbers.
The non-identifiable information we retrieve from Bromcom are the possible data sets that can be assigned to an employee. These data sets are Genders, Ethnicities, Absence Categories, Business Roles and Titles.
Q: Can I import into Access Education People from my MIS?
A: No. There are no plans to be able to offer this in the future. We strongly believe that if you have an HR system such as Access Education People, then that it should be the main source of your HR information. Let the HR system do what it does best.
Q: What do the cloud icons mean?
A: The cloud icons that can be seen in several parts of the system indicate the status of that particular employee/record. Grey typically indicates it is performing smoothly. Red indicates there is an issue with the record and needs your attention. More information on these can be found here.
Q: Why can’t I see all the available System Integration Settings?
A: Some settings can/will be hidden depending on the status of the integration. Information on what settings you can use and when can be found here.
Q: How does the staff matching process work?
A: The initial matching process is done using NI Numbers. Once this has been completed, it will attempt to link Positions within our system to the Contracts within Bromcom.
Q: How does the re-run wizard work?
A: The ability to re-run the setup wizard is for when you may have made changes to the datasets in one or both of your systems. This could be in the way of a new Absence Class in Access Education People or Absence Category in Bromcom. So in this scenario, it is advised to rerun the set up wizard and define what the new respective value is within the Bromcom system. That way it ensures a smooth running of both systems integration and our system will always know what value to set it as within Bromcom.
