Negotiating bodies are generally created in the Pay Grade and Payscale menu, as this allows you to set up payscales with specific values.
However, in some cases, you may need to set up a negotiating body without payscales. This can be done in the Pay Grade Not Payscale menu, where you can set up negotiating bodies that have grades only.
What this means is that you will be able to enter a range of values on the negotiating body, then manually enter the salary for each employee within this range.
For example: On a negotiating body in Pay Grade Not Payscale, you can enter a grade that starts at £25,000 and ends at £35,000. Then, when adding a salary for an employee, you will be able to manually enter any value within this range, for example £29,500.
To set this up:
Go to Setup, then click Settings.
Click Module Settings, then Payroll Settings.
Click Pay Grade Not Payscale, then Add Negotiating Body.
Enter the name in the Description field and a payroll code in the Grade Name Prefix field.
Enter a value in the FTE Hours field.
Select an option from the Enter As dropdown:
FTE Salary: Will allow you to enter the value of the FTE salary when adding grades.
Hourly Rate: Will allow you to enter the hourly rate.
Click Save.
Click the arrow icon next to the negotiating body's title.
Click Add Grades.
Enter the start date of this grade in the Eff. Date field.
Enter the lower value in the FTE Salary Start or Hourly Start fields as needed.
Enter the upper value in the FTE Salary End or Hourly End fields as needed.
Click Save.
Repeat the process to add as many grades as needed.
⚠️ Important: When uplifting values on negotiating bodies in Pay Grade Not Payscale, the changes you make will not automatically push through to employees. This is because the grades are ranges of values and the system will not know what is the exact value within the range that is intended for each employee. This will always need to be entered manually.
