Create a negotiating body

Follow these steps to create a new negotiating body and add grades and pay scales to it.

Create a new negotiating body

  1. Go to Setup and click Settings.

  2. Click Module Settings and then select Payroll Settings.

  3. Click Pay Grade & Payscale.

  4. Click Add Negotiating Body.

  5. Enter the title in the Description field.

  6. Enter a code in the Grade Name Prefix that is unique on the system (not in use on other negotiating bodies).

    • You will need to communicate this code to your Payroll Agent once the negotiating body is created.

  7. Enter the number of FTE hours in the FTE Hours field.

  8. Select an option from the Enter As drodown:

    • If you need to add the FTE salary value when adding payscales, select FTE Salary.

    • If you will need to add the hourly rate value, select Hourly Rate.

  9. Select the calculator you want to use from the Calculator field. If you leave this field blank, the calculator will default to the Payment Standard one.

  10. Click Save.

⚠️ Important: All negotiating bodies will need a value entered in the FTE Hours field. If this isn't added you will see the message 'Warning: Negotiating Body needs an FTE Hours value' and you will not be able to add or edit payscales.


Add the payscales and grades

Once the new negotiating body has been created, to complete it:

  1. Click the arrow next to the title of the negotiating body.

  2. Click New.

  3. Add the effective date and click Add Payscale to add the pay scales.

  4. Click Save and Push Out Changes.

  5. Click the Grades tab and click Add Grade.

  6. Enter the title of the grade in the Description field.

  7. Enter the export code in the Export Code field.

    • This code has to be unique on the system and will need to match the one in the Payroll system for this grade.

  8. Enter the order in which you need this grade to be displayed on the negotiating body's settings in the Order field.

  9. Select the effective date and the lower/upper payscales for this grade, then click Save.

πŸ“Œ Note: If a new Negotiating Body is created, please let your Payroll Agent know so they can update the software at their end and make sure staff are on the correct pay.
