Payscale not available when adding addition to basic pay

Follow these steps if you've added a new payscale to a negotiating body but it isn't being displayed when adding an addition to basic pay.

Include the payscale on a grade

After adding a new pay scale to a negotiating body you will need to ensure that it is also included in one of the grades on the negotiating body.

  1. Go to Setup and click Settings.

  2. Select Module Settings and then Payroll Settings.

  3. Click Pay Grade and Payscale.

  4. Expand the negotiating body by clicking the arrow to the left of its name.

  5. Select the Grades tab and click the grade that needs to include your new payscale.

  6. Make sure it is included in the lower to upper payscale range.

  7. Click Save.


If your payscale is added with a new effective date, you may need to create a new line on the existing grade in order to include your payscale. For example, if the grades available are all dated 2024, but your new payscale is effective from 2025.

  1. Click on the grade and then click on Add.

  2. Enter the new effective date as per the new payscale's effective date.

  3. Select the lower and upper payscales as needed.

  4. Click on Save.


Include the payscale on the pay element

Once it has been added to a grade, the payscale also needs to be included on the pay element's settings.

To do this, please follow the below steps:

  1. Go to Setup, then click Settings.

  2. Go to Module Settings, then Payroll Settings.

  3. Click Pay Element.

  4. Search for and click the pay element you wish to add as an addition to basic pay.

  5. Scroll down to Grades and click each line.

  6. Make sure that the new pay scale is included in the lower to upper pay scale range.

  7. Click Save.
