Leave period incorrect on an employee's profile

Follow these steps if the absence period's start or end dates are incorrect for an employee.

The absence period is determined by the employee's start date in their current employment, the absence period scheme selected for them and the end date or contract end date.

If you have noticed incorrect dates on the leave period for an employee, follow the steps below to resolve this

Assign the correct absence period scheme

First, make sure the correct absence period scheme is selected:

  1. Search for the employee and go to their profile.

  2. Click Absence, then Leave.

  3. Click Change Absence Period Scheme.

  4. Select the correct scheme and click Save.


View or amend the periods on the scheme

  1. Go to Setup, then Settings.

  2. Click Module Settings, then HR.

  3. Click Absence Period Schemes.

  4. Select the scheme that has been assigned to the employee.

  5. Make sure all the dates are correct for each period. If they are incorrect, click Edit and change them as needed.

  6. Click Save.


Check the employment's start date

If the start date of the leave period is incorrect, it's possible the employee's start date is also set up incorrectly.

  1. Search for the employee and go to their profile.

  2. Click Admin, then Edit an existing post/position.

  3. Click the current employment.

  4. Amend the start date as needed and click Save.

  5. Go to Payroll, then Pay.

  6. Click Pay History.

  7. If you notice an incorrect date on a salary line, click it and change the effective date.

  8. Click Save.


Change the employment's end date

If the end date of the leave period is incorrect, it's possible the employee has an end date that has been entered by mistake.

  1. Search for the employee and go to their profile.

  2. Click Admin, then Edit an existing post/position.

  3. Click the current employment.

  4. Amend the start date as needed and click Save.

  5. Go to Employment, then Position.

  6. Click Edit in the Employment area.

  7. Delete the date in the Contract End Date field and click Save.
