If an employee's number of available leave days are incorrect, or if their entitlement isn't pro-rating correctly, it's worth checking their holiday entitlement history to make sure that the templates have been added correctly.
Check how the entitlement is calculated for an absence period
Search for the employee and go to their profile.
Click Absence and then Leave.
Select the absence period from the Period dropdown list.
In the stats area on the right, click on the calculator icon next to Entitlement for Period.
You will now see a breakdown of how many days the employee has been entitled to over the course of this absence period.
For example, this may look something like this:
β’ Based on Entitlement Change from 28/04/2025 to 31/08/2025, full time entitlement 30.00, pro-rata for part entitlement year 30.00*126/365 = 10.36
β’ Based on Entitlement Change from 16/04/2025 to 27/04/2025, full time entitlement 32.00, pro-rata for part entitlement year 32.00*12/365 = 1.05
Change the holiday entitlement history
Search for the employee and go to their profile.
Click Absence and then Leave.
Click Edit Holiday Entitlement History.
If the effective date you need to change the template for is already on the list, click on it and change the template as needed.
If the date is not on the list, click Add New.
Enter the date in the Effective Date field.
If you cannot select this date in the calendar, you can manually type it in.
Select Template, choose the correct template for this effective date and click Save.
Click Save.
Going back to the example above, let's say you may want to change the 1.05 days available from 16/04/2025 to 0. You can do this by clicking on the effective date 16/04/2025 in the Holiday Entitlement History page and changing the current template to one that has zero days. This may be called Term Time Only or Zero depending on your setup.
