Create the employee profile
If the employee is a new starter who hasn't been added to the system yet, you will first need to create their employment in Access Education People.
Go to Admin Menu and click All Employees.
Click Add Person.
Enter all details as prompted, making sure to fill in all fields that are marked as mandatory.
After completing the details on each screen, click Next.
Once everything has been added, click either Submit or Create this employment.
Access Evo account
At this point, as long as you have correctly added a work email address for the employee, an Access Evo account will be created for them using the same work email you have added.
They will receive an email letting them know that they've been added to the organisation and they will need to click on the Join button in the email in order to set up their Access Evo password and log in.
If they have not received this email you can re-send it by following the steps below, which will need to be actioned in the Members page on Access Evo:
Open Access Evo and click the Members icon.
Type in the name of the employee in the search field.
Click the three dot menu at the top right of the member's name card.
Click Resend signup email.
Before re-sending the email it is also worth checking if the work email address has been added correctly, or if it has any typos or errors:
Go to their profile, in the Employment tab.
Click on Position in the menu on the right.
Scroll down to Work Contact and click on Edit.
Change the work email address as needed and save.
Once the employee has logged in to Access Evo, they will need to click on the Access Button in the top let corner of the screen and then select the People icon to log in to Access Education People.
Roles and permissions
When the employee logs in to Access Education People for the first time, they will not be able to access anything in the system unless they have roles and permissions assigned.
To give the employee access to the Self Service menu:
Search the employee and go to their profile.
Click Security and then Roles.
Select the Employee role so that it's highlighted in blue.
π Note: If the employee is a pending starter they will not see the Self Service menu until their start date. They will be able to log in, but the system will appear as blank.
