Run the SWC Data Collection report

You can report on your SWC data by running the standard report as described in this article.

If you want to prepare ahead of time for the Schools Workforce Census and check the SWC data that is added in the system, we would recommend running the SWC Data Collection report before generating an actual SWC export.

This will allow you, for example, to check which employees are Higher Level Teaching Assistants, you can run this report and then check the HLTA Status column.

Run the SWC Data Collection report

  1. Go to Reports and click Standard Reports.

  2. Select Compliance, then SWC Data Collection.

  3. Expand the Organisation Structure and select the sections you want to run the report for.

  4. Enter the date range you want to look at.

  5. Click Run Report.

πŸ“Œ Note: You can download this report as an Excel file, but this will not be your official SWC export that needs to be uploaded to COLLECT. The export needs to be generated from the Import/Export menu under Payroll.


Information included in the report

Using this report you can check the following information for all staff:

  • Employee Number

  • NI Number

  • Forename and Surname

  • Date of birth

  • Date arrived in school

  • Date finished

  • Post Start Date

  • Gender, ethnicity and disability

  • Division, section and subsection

  • Post title

  • Contract type

  • SWC Post Identifier

  • SWC Role Identifier (from the post)

  • SWC Role Identifier (from the employment)

  • SWC Origin and SWC Destination

  • Qualified Teacher Status

  • SLT

  • EYTS

  • QTLS

  • NQT Status

  • Qualified Date

  • Teacher Number

  • Qualification Route

  • HLTA Status

  • Contract Hours and FTE Hours

  • Grade and Payscale

  • FTE Salary

  • SWC Pay Range

  • SWC Regional Pay Range

  • Last Pay Review Date

  • SWC Pay Framework
