Permissions needed to prepare for the SWC

The employees who need to set up the system to prepare for the Schools Workforce Census will need the permissions mentioned in this article.

SWC Data Collection Report

This report will allow you to check the SWC data before running the actual SWC export. The permission for the SWC Data Collection Report is 'Report SWC Data Collection Standard Report'.

To add this to an employee:

  1. Go to their profile under Security and click Permissions.

  2. Click Edit Employee Permissions.

  3. Click Filters and then Options.

  4. Select Reports and then Filter.

  5. Search for 'Report SWC Data Collection Standard Report' and click on the eye and pencil icons so that they are green.

  6. Click Save.


Schools Workforce Census export

The Schools Workforce Census export can be run by going to Payroll, under the Import/Export menu and clicking on Schools Workforce Census.

To view this menu they will need the permissions 'View Admin Interface Menu', 'Payroll Home' and 'Schools Workforce Census'.


SWC Settings

SWC Settings such as Origin, Destination, Gender, Post Identifier and Role Identifier can be amended in the Module Settings menu. The employee making these changes will need the permission 'Module Settings'.

πŸ“Œ Note: Adding this permission will give them access to everything under the Module Settings menu. It is not possible to give them access to the SWC Settings submenu only.


Post Setup

Post Identifiers and Role Identifiers can be added on each post on Education People. In order to do this, the employee making these changes will need the view and edit permissions for 'HR Posts'.

Once the permission is added, they can follow the steps below:

  1. Go to Admin Menu and click Post Setup.

  2. Select Surveys in the menu on the left.

  3. Click Edit in the 'SWC - Schools Workforce Census' area.

  4. Select the correct options from the Post Identifier and Role Identifier dropdown lists.

  5. Click Save.


Teacher Menu

Teacher numbers, qualification and role identifiers can be added in the Teacher menu on each employee's profile.

In order to view this menu the employee needs the permission 'Employment Teacher'.


Edit an existing post/position

The SWC Origin and SWC Destination are added on each employee's profile by going to the Admin tab and selecting Edit an existing post/position.

In order to view this menu the employee needs the permission 'HR Admin - Can Edit Post + Position'.


Global Settings

Access to Global Settings is needed in order to edit the SWC date. In order to view this menu the employee needs the permission 'Global Settings'.
