You can use Access Education People to get your school workforce census (SWC) data ready to upload to Collections Online - Learners, Education, Children, and Teachers (COLLECT) in two easy stages:
Prepare to export your SWC data
Export your SWC data
Changes for 2025
All the information has been provided on the government website and can be found on page 6.
Generate Summary and Error List
You can find this by following the steps below:
Go to Payroll and click Import / Export.
Click Schools Workforce Census.
Select a school from the School dropdown list and click Make Schools Workforce Census.
You can see the Download button like you did before, but you also now see View Summaries. Once you click this you then get a pop-up that allows you to download the following:

School Summary Presentation
Once you've downloaded the Error list, we recommend you open this in Excel so that it's a more readable format, this then allows you to see errors and queries.
Any errors must be corrected in the HR system, and a new School workforce census must be generated.
With regards to the Schools Summary Presentation, we recommend this be opened in your browser.
School Workforce Census Report
To help you highlight any missing information before uploading to COLLECT, you can use the new SWC report. To distribute the workload more effectively, you can run the SWC report at the school level and full organisation.
To run the report, navigate to the Standard Reports and run the SWC Data collection report. You need to ensure that you have the relevant permissions to grant permission to Report SWC Data Collection Standard Report.
You can use the report to:
Apply several filters, such as Employment Status
Apply other filters when you have generated the report
Display a row for each post that applies to the filters
