Export the school workforce census

How do I generate my school workforce census data?

It's easy to export your school workforce census (SWC) data from Access Education People.

To do this, follow the steps below.

πŸ“Œ Note: Before you export your data, check that your software is ready to export the SWC data.

  1. Click Import/Export then click Schools Workforce Census.

  2. Check the census date is correct. The census date this year is 7 November.

  3. From the School drop-down list, select the relevant school.

  4. To do one school at a time, click Make Schools Workforce Census.
    ​Tip: To do your schools in bulk, click Add School then select the relevant school. Repeat this for the required schools then click Make School Workforce Census. To remove a school, click Remove.

  5. Once you've created the SWC, click Download.


Generate Summary and Error List

You can find this by:

  1. Clicking Import / Export then click Schools Workforce Census.

  2. Click Make Schools Workforce Census.

You can see a Download button like you did before, but you also now see View Summaries. Once you click this you then get a pop-up that allows you to download the following:

  • Error List

  • School Summary Presentation

Once you've downloaded the Error list, we recommend you open this in Excel so that it's a more readable format, this then allows you to see errors and queries.

Any errors must be corrected in the HR system, and a new School workforce census must be generated.

With regards to the Schools Summary Presentation, we recommend this be opened in your browser.
