Employees not showing on the SWC report/export

Follow these steps to set up an employee so they will be displayed on the School Workforce Census export and reports.

The below information is mandatory on all employee profiles in order for them to show on the SWC export:

  • Contract type

  • Role identifier

  • Post Identifier

  • Ethnicity

  • Disability

If the above are missing or not set up correctly, the SWC export will be blank or missing employees.


Contract Type

For all employees that need to show on the export, make sure to add their Contract Type by following the steps below:

  1. Search for the employee and go to their profile.

  2. Click Employment, then Position.

  3. Click Edit in the Employment area.

  4. Select an option from the Contract Type dropdown.

  5. Click Save.

Once this is done, you will also need to ensure that there is a SWC Code selected for each Contract Type:

  1. Go to Setup, then Settings.

  2. Click Module Settings, then General.

  3. Click Contract Type.

  4. Click one of the types in the list, for example Permanent.

  5. Select the relevant option in the SWC Code dropdown. In this case, this will be Permanent.

  6. Click Save.

  7. Repeat the steps above for all Contract Types that are mandatory on the SWC export.


Role identifier

  1. Search for the employee and go to their profile.

  2. Click Employment, then Position.

  3. Click Post Details.

  4. Select Surveys in the menu on the left.

  5. Click Edit in the SWC - Schools Workforce Census area.

  6. Select the relevant option from the Role Identifier dropdown.

  7. Click Save.


Post Identifier

  1. Search for the employee and go to their profile.

  2. Click Employment, then Position.

  3. Click Post Details.

  4. Select Surveys in the menu on the left.

  5. Click Edit in the SWC - Schools Workforce Census area.

  6. Select the relevant option from the Post Identifier dropdown.

  7. Click Save.


Disability and Ethnicity

For all employees that need to show on the export, make sure to add their Disability and Ethnicity by following the steps below:

  1. Search for the employee and go to their profile.

  2. Click Person, then Profile.

  3. Click Edit in the Sensitive Info area.

  4. Select the relevant options from the Ethnicity and Disability dropdowns.

  5. Click Save.

Once this is done, you will also need to ensure that there is a SWC Ethnicity selected for each Ethnicity:

  1. Go to Setup, then Settings.

  2. Click Module Settings, then General.

  3. Click Ethnicity.

  4. Click each ethnicity in the list and select an option from the SWC Ethnicity dropdown.

  5. Click Save.
