Unable to select vehicle once the date is entered on a mileage claim

Follow these steps if you've entered a date for your mileage claim and the vehicle's registration number disappeared.

When creating a mileage claim from Self Service, you will first need to enter the date for the claim and then select the vehicle in the Vehicle dropdown.

If the vehicle registration number is available at first but then disappears after you've entered the date, this will be due to the date entered in the Date Car Stopped Being Used field for your vehicle. If this date is prior to the date on the claim, the system will assume that the car is no longer used and will remove it as an option.

Amend the field from Self Service

To resolve this from Self Service:

  1. Go to Self Service and click My Expenses.

  2. Click the vehicle registration number in the Vehicles area on the right.

  3. Remove or amend the date in the Date Car Stopped Being Used field.

  4. Click Save.


Amend the field for another user

You can also edit this date for another employee:

  1. Search for the employee and go to their profile.

  2. Click Employment, then Vehicles.

  3. Select the vehicle.

  4. Remove or amend the date in the Date Car Stopped Being Used field.

  5. Click Save.
