People to Budgets Link - Unable to import staff due to Stop symbol

Follow these steps if you are importing staff and the following message appears: 'This staff contract has pay scale details that are not in the Effective Date of the Pay Scale, please revise the Effective date on the Pay scales'.

This error appears in the following scenarios:

  • There's a discrepancy between the negotiating body or payscale and pay grade showing on the employee's payroll and their pay history.

  • The employee's start date is before the Negotiating Body First Payscale Effective Date.

Check for a discrepancy

  1. In Access Education People, select the relevant employee.

  2. Click Payroll then click Pay.

  3. Under Basic Pay, note the values in the Negotiating Body, Payscale and Pay Grade fields.

  4. Click Pay History then click Current Pay History line.

  5. Under Pay Details Assigned To, check the Negotiating Body and Grade and Pay Grade and Payscale fields.

If the Negotiating Body value is different in the Basic Pay and Pay Details Assigned to areas, but the Pay History line is correct, you need to delete and re-add it.

If the Negotiating Body value is the same in the Basic Pay and Pay Details Assigned to areas, but the Pay Grade and Payscale are different, you can either:

  • If the details in the Pay History line are correct, click Save.

  • If the details in the Pay History line are incorrect, amend them then click Save.

πŸ“Œ Note: If you delete a line from Pay History, an error may appear. You can close the error then press F5 on your keyboard, this refreshes the page to remove the line.

In the Pay History tab, click Add Payment (Admin - Unrestricted) then add a new line for the correct information.

If you can't select the correct start date on the calendar, select the next available date then, on the next screen, you can overtype this with the correct date.

Once you've added or amended the line, the Basic Pay and Pay History will match and you can import the employee.


Check the employment start date

To check if the employee's start date is before the Negotiating Body Payscale Effective Date, follow the steps below.

  1. In Access Education People, select the relevant employee.

  2. Click Employment then click Position.

  3. Check and note the date under In Post From.

  4. Click Setup then click Settings.

  5. Click Module Settings then click Payroll Settings.

  6. Click Pay Grade and Payscale then click the negotiating body.

  7. To check the effective date, click the Effective Date drop-down menu.

If the employee's start date is before the effective date, you need to amend the employment start date. To do this, follow the steps below.

  1. Select the relevant employee then click Admin.

  2. Click Admin then click Edit an Existing Post/Position.

  3. Amend the start date to be the same as the effective date.

  4. Under Person and Profile, amend the Cont Service Date to match the start date you entered.

Once you've done this, the employee will appear on the import wizard.
