New starter already exists but cannot be found

Follow these steps if you are adding a new starter and receive a message that they already exist but you cannot find their profile.

If you are trying to add a new starter on Access Education People and receive a message that the user already exists, it is highly likely that their profile has been created but is incomplete and has no employment.

Users with no employments are not linked to any of the sections or subsections on the system and because of this they will not be displayed when searching for them.

Users with the System Owner role who can see all people in the system will be able to search for the new starter and find their account.

They can either add an employment or delete the profile so you can add it again.

Add the employment

The System Owner user will need to follow the steps below:

  1. Search for the employee using the search icon in the top right corner.

    • Do not search for them using the All Employees menu as this may not work due to filters.

  2. Go to their profile and click Add Employment.

  3. Complete the employment wizard and select a post for the employee.

Once the employee is in post they will be linked to the section their post has been created in and all users with the necessary permissions will be able to search for them on the system.


Delete the profile

Alternatively, the System Owner user can delete the profile and you can then re-add them.

  1. Search for the employee using the search icon in the top right corner.

  2. Go to their profile and click Admin.

  3. Click Delete Person.
