Edit employee numbers

This article provides guidance on changing employee numbers.

Employee numbers are displayed on each profile at the top of the page, underneath the employee's post title. They are unique per employment (the same person will have different employee numbers for each employment) and should also be unique within the system.

By default, employee numbers are read-only and cannot be changed.

However, it is possible to change system settings to allow editing employee numbers.

⚠️ Warning: We strongly advise against changing employee numbers as this will cause issues with Payroll. The employee number needs to be the same in the HR and Payroll system, but changing it on HR will not affect Payroll, resulting in a clash.

To be able to edit employee numbers:

  1. Search for any employee and go to their profile.

  2. Click Employment, then Position.

  3. Click the Edit button in the lower left corner of the screen.

  4. The Employee No. field will be highlighted in yellow. Click on it.

  5. Change the option in the Display dropdown to Optional.

  6. Click Save.

  7. Go to Setup and click Settings.

  8. Click System Settings, then Global.

  9. Search for Auto Employee Number and click on it.

  10. Change the option in the Boolean dropdown to False.

  11. Click Save.

Below are the settings that we recommend:

  • The Employee No. field should be set to Read-Only

  • The Auto Employee Number setting should be set to True
