Cost codes for an employee exporting incorrectly to Payroll

Follow these steps to amend the HR system if an employee's cost codes are exporting incorrectly.

In the Access Education People software, cost codes can only be assigned per posts. It is not possible to assign cost codes to an employee or a pay element, but an employee's post will determine the cost codes that get exported.

Check if the employee is in the correct post

First, make sure that the employee is in the correct post:

  1. Search for the employee and go to their profile.

  2. Click Employment, then Position.

  3. Click Post Details.

    • A new window will open with the post's title and reference number, which will help determine if they have been added to the incorrect post.

If they have been added in the correct post:

  1. Search for the employee and go to their profile.

  2. Click Admin, then Admin.

  3. Click Edit an existing post/position.

  4. Click the line with the incorrect post title.

  5. Select the correct post and start date, then click Save.


Check the cost codes on the post

If the employee has been added to the correct post you will not need to amend this, but you will need to make sure that the cost codes associated to the post are correct.
