Use the Temp Cover function

You can temporarily cover another user's account in order to view the system with their current permissions.

The Temp Cover function allows you to temporarily view the Access Education People system as someone else, inheriting their roles and permissions. This can be useful when setting up an employee's profile, in order to check the level of access they have and determine if any permissions need to be added or removed.

You can also use the Temp Cover function to view an approver's request and approve or reject them on their behalf.

πŸ“Œ Note: This option is limited to System Owners and our Support team. Most employees will not have the option to temp cover unless the permission is added for them.

Permission needed

To view and use the Temp Cover function you will need the permission 'Employment TemporaryCover', which can be added for you by your manager or any System Owner users.


Temp Cover as another employee

  1. Search for the employee you need to cover as and go to their profile.

  2. Click Employment and then Temp Cover.

  3. Click Add Temporary cover.

  4. Select your name from the Person dropdown.

  5. Enter the start and end dates for your cover and click Save.

  6. Click your name in the top right corner of the screen.

  7. You will see a new option in the dropdown which will display the post of the person you're covering as. Click on it.

  8. Click Yes.

⚠️ Important: When selecting the end date for your temp cover please make sure to enter tomorrow's date or another future date. Adding the end date as today's date will result in the temp cover not being available for you.


Return to your account

While temp covering, you will only have the roles and permissions of the person you are covering.

To return to your account:

  1. Click your name in the top right corner of the screen.

  2. Select your post title from the list.

  3. Click Yes in the window that pops up.

You will now be able to access the system with your usual permissions.


Delete temporary cover history

You can delete the record of a temp cover on an employee's profile by following the steps below:

  1. Go to the employee's profile and click the Employment tab.

  2. Click Temp Cover in the menu on the right.

  3. Click the line you need to delete and select Delete.
