Use Feed for leave approvals

Feed for Education People provides real-time notifications about absence and leave requests requiring your approval. This guide shows you how to use Feed to approve or decline leave requests using inline actions.

What is Feed?

Feed is your command centre showing all notifications requiring your attention. If you use People only, you'll see leave request notifications. If you use multiple Access Education products, you'll see notifications from Finance, Budgets, and People in one centralised location.

๐Ÿ“Œ Note: This will be available to HR Managers, Headteachers, Senior Leaders and Line Managers responsible for absence approvals.


Accessing Feed

  1. Log into your Evo platform.

  2. Click the Access Button at the top left of your screen.

  3. Click the Feed button from the menu.


Understanding Leave Request Notifications

What You'll See

When a staff member submits a leave request requiring your approval, a notification appears in your Feed showing:

  • Staff member name

  • Leave type (annual leave, sickness, compassionate, etc.)

  • Dates requested (start and end dates)

  • Duration (number of days)

Notification Badge

A badge appears on:

  • The Access button

  • The Feed menu item

This alerts you to new items. The badge disappears once you open your Feed.


Approving Leave Requests

Quick Approval (Inline Action)

For routine leave requests:

  1. Log into your Evo platform.

  2. Click the Access Button at the top left of your screen.

  3. Click the Feed button from the menu.

  4. Locate the leave request notification.

  5. Review the request details (staff name, dates, leave type, duration).

  6. Click the Approve button directly in the notification.

The staff member will be automatically notified.

When You Need More Information

Before approving, you might want to check:

  • Staff member's remaining leave entitlement

  • Their absence history

  • Whether cover is available for those dates

  • Impact on team workload

To view more details:

  1. Click anywhere on the notification (not the Approve button) to expand.

  2. Use the deep link to open the staff member's record in People.

  3. Review additional context:

    • Leave entitlement remaining

    • Absence history

    • Calendar view of team absences

  4. Return to Feed to approve or decline.


Employee Self-Service Update Notifications

What Are These Notifications?

When employees update their own personal details in People (via self-service), their managers receive Feed notifications. This keeps you aware of important employee data changes without needing to manually check records.

Who Receives These Notifications

  • HR Managers

  • Line Managers

  • Senior Leaders

  • Anyone configured as a manager for the employee in People

๐Ÿ“Œ Note: You only see notifications for employees you manage. You won't receive notifications about employees outside your team or responsibility.

Types of Employee Update Notifications

Name Changes

When an employee updates their title, forename, or surname.

Notification details:

  • Title: "Employee Name Updated"

  • Content: "[Employee Name] has updated their name in Access People. Click below to view the Employee profile."

  • Link to employee record in People

Why this matters: Name changes affect payroll, contracts, communications, and official records. You need to be aware to ensure all systems and documents are updated accordingly.

Contact Details Changes

When an employee updates their email address or phone number.

Notification details:

  • Title: "Employee Contact Details Updated"

  • Content: "[Employee Name] has updated their contact details in Access People. Click below to view the Employee profile."

  • Link to employee record in People

Why this matters: Current contact details are essential for emergency situations, staff communications, and maintaining accurate personnel records.

Address Updates

When an employee updates an existing address.

Notification details:

  • Title: "Employee Address Updated"

  • Content: "[Employee Name] has updated their address in Access People. Click below to view the Employee profile."

  • Link to employee record in People

Why this matters: Address changes may affect payroll, pension communications, DBS checks, and emergency contact procedures.

New Address Added

When an employee adds a new address to their profile.

Notification details:

  • Title: "Employee Address Added"

  • Content: "[Employee Name] has added a new address in Access People. Click below to view the Employee profile."

  • Link to employee record in People

Why this matters: New addresses may indicate changes in circumstances requiring HR attention or updates to official records.


What to Do When You Receive Update Notifications

For routine updates:

  1. Review the notification in Feed.

  2. Click the link to view the employee profile.

  3. Verify the change looks appropriate.

  4. Archive the notification once reviewed.

For updates requiring action:

  1. Click the link to employee record.

  2. Review the updated details.

  3. Check if other systems need updating (payroll, DBS, pension).

  4. Contact HR team if the change requires processing.

  5. Follow up with employee if clarification needed.

No inline actions:

  • These are awareness notifications only.

  • You cannot approve or reject employee updates, they're just informational to keep you in the loop.


Declining Leave Requests

  1. Open your Feed.

  2. Locate the leave request notification.

  3. Review the request details.

  4. Click the Decline button directly in the notification.

  5. The staff member is automatically notified of the decline.
