Create an overtime pay element

Follow these steps to create an overtime element and add it to claims.

Create an overtime pay element

  1. Go to Setup and click Settings.

  2. Click Module Settings and then Payroll Settings.

  3. Click Pay Element and then Add Pay Element.

  4. Enter the name in the Description field, for example 'Overtime'.

  5. Enter a payroll code in the Payroll Code field. This needs to be no longer than 6 characters (letters and numbers allowed) and will need to be unique in the system (make sure no two elements have the same code).

  6. Select an option from the Type dropdown. For overtime, this will generally be the 'Number of Units in Decimals' options, as this will allow users to enter the number of hours worked overtime.

  7. Make sure to tick the Allow in HR, Allow in Payroll and Allow in Claims boxes.

  8. Click Save.

⚠️ Important: Please make sure to reach out to your Payroll Agent when creating a new pay element and to let them know of the payroll code you've added.


Link the overtime element to a pay claim template

Pay claim templates are used when creating a claim, either from Self Service or from the Payroll menu. Each template has a different setup in order to control which elements each user has access to.

πŸ‘Tip: Templates that have the Self Service box ticked are available to be used by all employees when creating claims in Self Service. If you need your employees to use the overtime element when adding claims for themselves, make sure to add the overtime element to a template that has this box ticked.

To link the overtime element to a pay claim template:

  1. Click Payroll and then Payroll Claims.

  2. Click Templates in the top right corner.

  3. Click a template that you need to add this element to, for example Self Service.

  4. You will see the newly created overtime element in the column on the left. Click on it to move it to the right, which means it has been added to the template.

  5. Click Save Template in the top right corner.
