Re-submit new starter notification

We are pleased to announce a significant enhancement to the approval workflow management within the system, specifically targeting applicant tracking system (ATS) onboarding and employment processes. This update empowers administrators to retrigger approval workflows, providing greater flexibility and efficiency.

Previous limitation: Once an approval notification sent, only designated approvers could action it. If an approver was unavailable, resolving the issue required intervention from Access support, causing delays and additional administrative burden.

Applicant tracking system approval – Audit

We've added a new feature to the employee profile’s traffic light area, displaying the status of the ATS onboarding process.

If the ATS onboarding is incomplete, an ATS approval indicator appears, giving administrators a clear visual cue about the new starter's status. Once the ATS onboarding is complete, this check type disappears, providing a clear indication that the process is finalised.

Resubmit ATS or employment approval notification

We've introduced a re-submit button in the traffic light area of the employee profile, designed for situations where you need to issue a new notification for ATS or employment approval. This button is only visible if either the ATS or employment approvals are still pending.

By clicking this button, administrators can resend the notification to the designated approver, replacing any existing notifications. This feature allows administrators to update the approver mid-process, ensuring a swift onboarding of new starters. When the button is selected, the system determines which notification needs resending. If the ATS approval is pending, this notification resends by default. If the ATS approval is complete or not required, but the employment approval is pending, then the employment approval notification retriggers.

Recruitment: Resend reference request

Users of recruitment can now resend reference requests. When a referee has had the initial request sent, there's now a button against their record labelled Resend Reference Request, you can locate this alongside the View Response and View Reference Details buttons.

Click the button to present the user with a popup where a templated email can be adjusted, as well as check the email address it sends to, similarly to when the reference email is originally sent.

Recruitment: Application completion percentage

When you view the list of applicants to a vacancy, when a potential applicant hasn't completed the entire application form, you can see this as a percentage against their status. Previously, when a user hadn't completed their application, the status set to Incomplete. This could suggest the user simply only looked at the application, or they may have completed it and dropped out at the last step.

To help identify keen candidates who dropped out at the last hurdle, we display a percentage of completion in the status. This is calculated by using the number of pages in an application. For example, if the user reached the 5th page of a 10 page application and closed the window, the incomplete percentage status is 40% because they completed 4 of the pages, and dropped out on the 5th.

Rota headcount report

We've added a new Rota Headcount report to the Standard Reports section. Located in the rota standard reports folder, this report provides an overview of scheduled headcounts for specified rota weeks, broken down into 30-minute intervals. It includes only rota hours, excluding holiday, sickness, and training hours, and prioritises actual hours over forecast hours.


This report allows you to define two parameters in the report criteria screen:

  • Organisation Level

  • Rota Start Date

Although any level of the hierarchy can run the report, to return the report in an efficient period we recommend running the Rota Headcount report at section level.

After selecting the parameters and generating the report, the data includes:

  • Rows: Each 30-minute interval across the full rota week.

  • Columns:

    • Section description, followed by a summary of the total headcount per section.

    • Subsections within each section, detailing the headcount for each 30-minute slot across the rota week.

  • Configuration  

To access the Rota Headcount report within the Standard Reports menu, you must have the Standard Rota Headcount permission. You can assign this permission through standard methods such as adding it to a role or directly to an employee record. 


How this version will be made available

Release upgrades automatically deploy to customer People instances. During the upgrade downtime can occur, we expect this to be no longer than five minutes.
