What's new

Enhanced Configuration for Anniversary Leave and Entitlement Calculations

We have introduced an improvement to holiday entitlement configuration, giving system administrators greater flexibility when managing how leave is calculated.

What's Changing?

  • The existing global setting 'Holiday Entitlement Uses Continuous Service Date' has been renamed to 'Anniversary Leave Use Continuous Service Date'.

    • This setting now specifically controls whether the Continuous Service Date (CSD) is used when calculating anniversary leave only.

    • The current status (on/off) of this setting will remain unchanged after the update.

  • A new global setting has been introduced: 'Entitlement for Period to Use Continuous Service Date'.

    • This setting is defaulted to 'off'.

    • When enabled, it instructs the system to use the Continuous Service Date (CSD) to determine the employment start date for calculating entitlement for the period (where "period" refers to the absence period).

Why this Change?

This update provides better control and flexibility when handling different holiday calculation methods, supporting organisations that wish to separate how anniversary leave and standard entitlement are determined.

No immediate action is required, but administrators may wish to review the new setting to ensure it aligns with their leave management preferences.

Improvements to Access Evo User Management: Automatic Deletion on Termination and Activation on Rehire

We have introduced enhancements to Access Evo integration to ensure smoother management of employee access when employees leave or rejoin the business.

What's Changing?

  • Automatic Deletion of 'Added' Evo Users on Termination

    • If a user has a Access Evo Member status of 'Added' (i.e., they have not yet completed their Evo registration) at the point of termination in Access People, their Evo profile will now be automatically deleted.

    • This prevents employees from registering for Evo after they have left the organisation.

⚠️ Important: This deletion happens automatically when the employee’s termination date is processed in Access People.

  • Automatic Activation of Evo Profile on Rehire

    • When an employee is rehired in Access People, their Evo profile will now be automatically reactivated.

    • This removes the need for manual updates in two systems, improving efficiency for managers and administrators.

📌 Note: Only the Access People role will be updated automatically. If the employee requires access to other Access products, this will still need to be managed manually.

Why this Change?

These updates help ensure that employee access is kept up-to-date without manual intervention, reducing administrative effort and improving security by ensuring former employees cannot register post-termination.

Where to Find It

These improvements are automatically applied when processing employee terminations and rehires in Access People.

New Setting: Enable Pre-Starter Role Access

We have introduced a new configuration option that allows organisations to grant early access to HR features for new starters, helping them feel prepared and engaged ahead of their first day.

What's Changing?

  • New Global Setting: "Enable Pre-Starter Role Access"

    • When enabled, this setting allows users with a future start date to inherit the permissions of a specified role until their official start date is reached.

    • This ensures new starters can access important HR information and key documents before their first working day.

    • By default, this setting is off.

  • Configuration Details:

    • The setting is Boolean-controlled (True/False).

    • A Role GUID must be provided to determine which permissions pre-starters will inherit.

    • Access is temporary — it only applies prior to the start date and does not impact permissions once the employee has officially started.

Why this Change?

This update helps recruiting managers improve onboarding experiences by providing pre-starters with early access to relevant HR information, boosting engagement and reducing first-day confusion.

Where to Find It

The new setting can be found under Global Settings > Pre-Starter Access within Access People.

Display Probation Start Date on the Employment Record

We have made an improvement to the probation management screen to help managers validate key employment details more easily.

What's Changing?

  • The Probation Start Date will now be displayed within the Probation section of an employee’s Employment Record.

  • This allows managers to quickly identify the probation start date in scenarios where the start dates doesn’t align with the employee’s employment start date.

📌 Note: This update does not introduce any new validation rules — it simply enhances the visibility of existing information.

Why this Change?

This enhancement helps ensure probation records are accurate and consistent, supporting better management of employee onboarding and probation processes.

Where to Find It

Navigate to the employee’s Employment Record > Probation tab to view the new Probation Start Date field.

Batch Claims dataset within Custom Reporting module

We have added a new dataset to the custom reporting module for Batch Claims; this is similar to the self-service claims but is for reporting on the expenses along their batch information.

What's Changing?

  • There is a new dataset within Custom Reporting module called 'Batch Claims’.

  • This dataset will allow the reporting on the Payroll Claims, Expense Claims and Mileage Claims within a batch.

  • This will also enable users to report on the batch file itself with fields like Cost Code, Value, Rejection reason, Notes and authorisation status.

Why this Change?

This is to complement the existing Self-Serve Pay Claims dataset, previously you could only report on Payroll claims or claims that were logged via the self-serve portal, now you can do both for a wider view of the claims being processed within your system.

Where to Find It

Within Custom Reporting module, now when you choose to create a new report, the ‘Batch Claims’ dataset can be selected.
