Approval Reminders

What Are Approval Reminders?

If you haven't actioned a leave, sickness, or TOIL approval after 7 days, Feed automatically sends you a reminder notification. This ensures important approvals don't get forgotten or lost in a busy Feed.

How Reminders Work

Initial notification:

  • Staff member submits leave request

  • You receive notification in Feed

  • Clock starts ticking

After 7 days:

  • If you haven't approved or declined

  • You receive a reminder notification

  • Reminder appears in your Feed

Every 7 days after:

  • If still not actioned

  • Another reminder is sent

  • Continues until you approve or decline

Identifying Reminder Notifications

Reminder notifications include:

  • Original approval request details (staff name, dates, leave type)

  • Same Approve/Decline action buttons as original

  • Link to the leave request in People

Why Reminders Matter

Never miss critical approvals:

  • Time-sensitive leave requests don't get forgotten

  • Cover planning isn't delayed by missed approvals

  • Staff get timely responses to their requests

Reduce manual tracking:

  • No need to maintain separate reminder lists

  • System prompts you automatically

  • Focus on priorities without worrying about what you've missed

Actioning Reminder Notifications

Handle reminders exactly the same as original notifications:

  1. Open your Feed.

  2. Review the approval details.

  3. Click Approve or Decline.

  4. Staff member is automatically notified.

What happens after I action a reminder:

  • Reminders stop for that approval

  • Staff member receives your decision

  • Reminder notification can be archived

Reminder Frequency

Default setting: Reminders sent every 7 days

This can be configured by your system administrator via Global Settings. Your organisation may have set a different reminder frequency (e.g., 3 days, 14 days) depending on your approval processes.

When do reminders stop?

  • When you approve the request

  • When you decline the request

  • If the staff member cancels their request

  • If another approver actions it (in multi-approver workflows)


Rota Approval Notifications

What Are Rota Approvals?

When administrators create or update rotas in People requiring approval, approvers receive Feed notifications. This extends the approval workflow pattern to rota management.

How Rota Approvals Work

Admin creates/updates rota:

  1. Admin goes to Manager > Rotas in People

  2. Creates or edits a rota

  3. Adds information for users on the rota

  4. Submits the rota for approval

You receive notifications:

  • Notification appears in your Feed

  • Shows rota is waiting for your approval

  • Includes details about the rota

  • Provides link to view/action in People

You action the approval:

  • Review rota details via the link

  • Approve or decline in People

  • Admin and affected staff are notified

What Information is Included

Rota approval notifications show:

  • Notification that a rota requires your approval

  • Which rota (by name/period)

  • Who created it

  • Link to view the rota in People
