Add assets to employees

Follow these steps to create asset types and add assets to employees.

Create asset types

You will first need to create asset types by following the steps below. Some options will already be available by default, but if the option you need does not exist you will need to add it to the system manually.

  1. Go to Setup and click Settings.

  2. Click Module Settings, then HR.

  3. Click Asset Type, then Add Asset Type.

  4. Enter the name in the Description field (for example: Mobile Phone, Laptop, Monitor etc.).

  5. Click Save.


Add an asset to an employee

To add assets to employees you will need the permission 'Assets Permission', which can be added for you by your manager or any System Owner user by following the steps in our article on adding permissions.

Once you have the permission, to add assets to an employee:

  1. Search for the employee and go to their profile.

  2. Click Employment, then Assets.

  3. Click Add Asset.

  4. Select an option from the Asset Type dropdown.

  5. Enter a date in the Date Issued field.

  6. Enter any other data as needed.

  7. Click Save.


Let employees add their own assets via Self Service

You can also give employees the access to add assets to their own profile via the Self Service menu.

This is turned off by default, but can be enabled by following the steps below:

  1. Go to Setup and click Roles & Permissions.

  2. Click the Employee role.

  3. Click Role Permissions, then Edit Permissions.

  4. Search for SelfService Assets and enable the view, edit, add and delete options as needed.

  5. Click Save.

Once this is done, all users with the Employee role will be able to add their own assets by following the steps below:

  1. Go to Self Service and click My Profile.

  2. Click the Assets tab, then Add Asset.

  3. Select an option from the Asset Type dropdown.

  4. Enter a date in the Date Issued field.

  5. Enter any other data as needed.

  6. Click Save.
