Add a new absence class
To create a new absence class:
Go to Setup and click Settings.
Select Module Settings and then HR.
Click Absence Class and then Add Absence Class.
Select the type (Leave or Sickness) from the Type dropdown list.
Enter the name of the absence in the Description field.
Enter the code in the Absence Code field. This code will be exported to Payroll and you will need to communicate it to your Payroll Agent once the absence class has been set up.
If needed, you can add a number in the Annual Cap field. For example, if you add "5" in this field, employees will not be able to submit more than 5 days per year for this absence class.
Select each option as needed:
βPaid Leave: Tick this box if the absence class needs to be paid or leave it unticked if it's unpaid.User Can Select: Tick this box if you want employees to see this absence class and select it when adding leave from Self Service.
Approval Required: Needs to be ticked if leave added with this absence class has to be approved.
Holiday Allowance: If ticked, days taken for this absence class will be deducted out of the employee's leave entitlement.
Accrual: Tick this box if the employee needs to accrue holiday while on this leave.
Allow Lieu: If ticked, the employee will also have a "Lieu Days" field in which they can enter the number of lieu day they want to use when taking leave for this absence class.
Use Absence Reason: Tick this box if the absence class is a Sickness. This will enable absence reasons to be selected when submitting leave.
Click Save.
Amend an absence class
To edit an existing absence class:
Go to Setup and click Settings.
Select Module Settings and then HR.
Click Absence Class.
Search for the absence class and click on it.
Tick or untick the options as needed (see above).
Please do not edit the Absence Code unless already discussed with your Payroll Agent. This code needs to match the one set up in Payroll in order for the absence to be exported successfully.
Tick the Obsolete box if you want to remove this absence class. Once ticked and saved, the absence class will no longer show as an option when submitting leave.
Click Save once you've made your changes.
