The Access Evo navigator screen is your personalised home screen in Access Evo. It brings together quick actions, priority tasks, notifications, and useful information from across your Access products into one place. It appears as the first tab in Access Evo and is available in your browser and on the Access Evo mobile app.
This guide focuses on self-service HR in the navigator screen — the everyday HR tasks you can do directly from your navigator screen, such as viewing your payslip, requesting leave, logging sickness, checking your documents, and (for line managers) reviewing your team.
Much of this functionality already exists in Access Education People. The navigator screen brings it together in one place and makes it quicker to get to. You can still do these things in Access Education People as you do today — navigator is a redesigned, quicker way in. Other navigator features sit outside the scope of this guide.
Everything in this guide works the same way whether you're on a desktop browser or the Access Evo mobile app. Read on to the next section for more information in downloading and using the Access Evo app.
Downloading the Access Evo app
Your navigator screen lives inside the Access Evo mobile app, as well as in your desktop web browser. It is free to download and works on both iOS and Android devices.
Scan the QR code, or search for “Access Evo” on your phone’s app store.
Tap Get or Install - it is free.
Once downloaded, open the app and sign in with your usual work login details.
Your app will open to your navigator screen.
From here, you can customise your default apps.
Forgotten your password?
On the sign-in screen, tap Forgot password?
Enter your work email address and tap Send.
Follow the link in the email you receive to reset your password.
🤓 Tip: Check your junk or spam folder if the password reset email does not arrive within a few minutes.
Push notifications
When you first open the app, you will be asked whether to allow push notifications. These are used to alert you when a new payslip is ready or when an HR task needs your attention. You can change this preference at any time in your device Settings.
Getting around the navigator screen
You'll come across four main areas in this guide:
Quick Actions — shortcuts at the top of your navigator screen for things you do often (one tap to open).
Quick Panels — fuller views that open over navigator with more detail and history. These will show in the more tab in the mobile app.
Action Required — cards that appear when something needs you to do something (approve a request, acknowledge a document).
Evo Feed — your notification centre. Available as a Quick Panel, from the Access button at the top of Evo, and as mobile push notifications. Holds the wider record of everything you've been notified about; Action Required is the subset that needs your attention.
You can pin and reorder both Quick Actions and Quick Panels to suit how you work.
Your pay
Latest Payslip
(Quick Action)
Opens your most recent payslip without leaving the navigator screen. Shows total earnings, total deductions, net pay, and payment date, with each earning and deduction line itemised.
Use the Hide Values toggle to mask amounts if others might see your screen.
Use Download to save a PDF copy. The PDF includes everything on screen plus your employer's name, your name, National Insurance number, and tax code.
Payslip published notification. When your employer publishes a new payslip, a Payslip published card appears in your Action Required list. Tap to open. You'll also see it in your Evo Feed and as a mobile push notification.
Payslip History
(Quick Panel)
Lists every payslip available to you, most recent first. Each shows the pay date and gross pay; tap to expand for the full earnings, deductions, and employer contribution breakdown.
Use the Hide Values toggle, filter by date range, and change the sort order from the top of the panel.
Downloading
Download a single payslip from its own download button, or use the controls at the top of the panel to download a tax year, all available payslips, or a selection (using checkboxes). All downloads are PDFs.
View Latest P60
(Quick Action)
Your P60 is your end-of-year tax summary. The main view shows the tax year, total taxable pay (this employment), total tax deducted (this employment), tax code, and total NI contributions.
Expand the additional information section for further details where they apply to you — employer name, employee/NI number, statutory pay categories, and student loan deductions. Anything that doesn't apply is hidden.
Use the Hide Values toggle to mask amounts.
P60 Document History
(Quick Panel)
P60s from previous tax years, grouped by year. Each is shown as an expandable card with employer name, total taxable pay, total tax deducted, and total NI contributions, plus an issue date and Download button.
Use the Hide Values toggle, or tick checkboxes to download multiple P60s at once.
Time off
Request Leave
(Quick Action)
If you have more than one employment
With a primary employment — Request Leave opens against your primary by default; use the employment selector banner at the top to switch.
With no primary — you'll choose an employment on an initial screen before the form opens.
With one employment — you go straight to the form.
The form
Period — defaults to the current leave period for the selected employment (e.g. Term Time 2025/26). Change it if you're booking against a future period.
Leave Type — set up by your HR team. Options vary.
Start Date / End Date — with optional Half day tickboxes on either end.
Use your working pattern — tick to count only your scheduled working days; untick to count every calendar day.
The total days is calculated and shows it as days requested.
From Holiday Allowance. If your chosen leave type counts against a holiday allowance, you'll see a panel showing your Paid Holiday and Time in Lieu balances. The app fills Paid Holiday first; adjust the split if you'd rather take some of the leave from your TOIL balance. The two must add up to the total days requested.
Notes and documents are optional. Approver is pre-filled if there's only one valid approver, or selectable if there's more than one.
When your request is acted on, you'll receive an email and a Feed notification with the outcome and (if rejected) the reason your approver gave.
Leave & Balances
(Quick Panel)
Shows your paid leave balance for the current academic year — entitlement, carried-over leave, leave taken, leave pending approval, approved-but-not-yet-taken, and remaining balance. Pending and approved requests both reduce your remaining balance in real time.
Shows your time off in lieu balance — time accrued, time used and remaining.
If you're part-time or term-time, balances are shown in the unit that matches your contract (days or hours).
Below your balances is a list of every leave request for the current academic year, with leave type, dates, days, and status. Filter by leave type, status, or date range; both current and previous academic years are available.
Use the link in the middle to open the Request Leave action.
Log Sickness
(Quick Action)
Enter a start date, expected last day and a reason (chosen from a list set up by your HR team).
When you submit, the absence is recorded immediately in Access Education People, and your line manager is notified through their Evo Feed.
Sickness History
(Quick Panel)
Top of the panel: summary totals from the past 12 months (total sick days, closed, currently open, number of absences).
The users Bradford score is shown below this – please note this will only be shown if Bradford score permissions have been configured in your system.
Below: a list of every recorded sickness absence with start date, end date (or Open), reason, and total days. Filter by status or category; both the current and previous leave year are available.
Open records can be updated — update the expected last day or attach a supporting document. Closed records can't be edited; contact your HR team if something looks wrong.
Your personal information
My HR Details
(Quick Panel)
Shows the information your employer holds about you, and lets you update what you have permission to change. Your name and profile photo appear at the top. Below are four sub-sections:
Personal Details — contact, address, emergency contacts. Contact and address are typically editable. Emergency Contacts can be added, edited (pencil icon), or removed (bin icon).
Employment — your job role(s), with post title, organisation, work contact details, contract details, and a collapsible organisation details panel. Read-only.
Pay & Bank — pay details, National Insurance number, and bank account. Sensitive values are masked by default; use Reveal to show them. Bank details are typically editable; NI number is read-only.
Diversity — equality, medical information, and dependants. Sensitive values are masked by default; use Reveal to show them. Equality and medical fields are typically editable. Dependants may or may not appear depending on your setup.
What you see and what you can edit depends on your organisation's setup and your individual permissions. If something is missing or you can't edit something you'd expect to, contact your HR team.
When you update certain personal details, your line manager is notified through their Evo Feed — for awareness only, no approval needed.
My Documents
(Quick Panel)
Lists all the documents your HR team has shared with you, grouped by category:
Person — about you personally (contract, offer letter, etc.)
Employment — related to your job role (contract variations, etc.)
HR — shared more broadly with staff (policies, handbooks, etc.)
Each entry shows the name, who uploaded it, and the upload date. Documents needing your acknowledgement are marked with a Needs Acknowledgement badge and appear at the top of the list.
Search by name. Filter by status (Needs Acknowledgement / Acknowledged), type, or date range.
Tap any document to open it in the inline viewer.
Acknowledge documents
Some documents need you to confirm you've read them. Two ways in:
From the Documents shared notification. A Documents shared card appears in your Action Required list (and your Feed, and as a push notification). Tap it to read the pending documents and acknowledge them inline.
From My Documents. Documents needing acknowledgement carry the Needs Acknowledgement badge and sit at the top of the list.
To acknowledge: open the document, tick "I confirm that I have read and understood this document" below the viewer, then select Submit Acknowledgement. You can also download a copy from the viewer.
For line managers
My Team
(Quick Panel)
Shows your direct reports as a list of cards, each with name (including preferred name if recorded), post title, section and division, employee number, employment status, and profile photo.
Search by name or employee number; filter by employment status.
Tap a card to open the detail view, which shows personal information about that team member — full name, preferred name, date of birth, gender, and other personal details on record. Other categories (employment details, absence, documents, payroll) will be added in future releases.
From the detail view, you can open the team member's full profile in Access Education People for anything not surfaced in My Team.
Multiple employments. You only see the employments you manage. Where you manage more than one for the same person, you can switch between them from the detail view.
Reporting line changes are an HR admin task — contact your HR team.
Approve or reject a leave request
When a direct report submits a leave request, you'll see an Approve Leave card in your Action Required list (also in your Feed, and as a mobile push). The card shows the employee's name, the leave type, amount of working days, dates, any overlap with other people in the same post and any note the employee has left.
Approve — an optional comment field appears. Submit to approve. The employee's balance updates immediately and they're notified.
Reject — a reason field appears. You must give a reason before you can submit; it's included in the notification to the employee.
For more detail (e.g. wider leave history), use the Open in People link to open the request in Access Education People — you can also action it from there.
You'll only receive requests for your own direct reports.
Sickness logged by a team member
When a direct report logs sickness, you'll receive an notification in your Evo Feed showing the employee's name, dates, and any note they added, with a link to review the sickness in Access Education People.
Profile updates by a team member
When a direct report updates a personal detail, you'll see a Feed notification with a title specific to what changed — for example, Employee Address Updated or Employee Emergency Contact Updated. Use the View Employee Profile link to see their full profile in Access Education People.
These notifications are for awareness only. You're not notified when an HR admin makes the change on their behalf — only when the employee changes it themselves.
Customising your navigator screen
You can personalise your navigator screen to show the information most useful to you. Click on the Guide icon in the bottom left of your navigator screen for a tutorial about the different customisation options for navigator.
Configuring your available apps
Each section (quick actions, quick panels, quick sections etc.) will have a configure button from which you can select the apps you have available in your navigator screen. This works for both web and mobile. Your admin will be able to control the default apps you have, but feel free to explore other available apps and see what works for you.
Trying new apps
Every time there is a new app, or updated app available, you will find these shown in the banner at the top of your navigator screen. Tap this banner to find out more and try the new functionality out.
Admin Setup
As an organisation administrator, you can configure which Quick Panels, Quick Actions, and Quick Sections are accessible to your users.
You can hide items entirely or pin them so users always see them and cannot remove them.
For Access Education People’s Self-service features, we recommend pinning all of the features you want to be available, as they will be relevant to all of your users in Access Evo.
There are two states you can apply to any item:
Hidden — the item is not visible to users at all and cannot be added by them.
Pinned — the item always appears in the user's Navigator and cannot be removed by them.
📌 Note: Any new items added to Navigator are visible to users by default. You need to explicitly hide them if you don't want users to see them.
Configure availability for your organisation
Open Navigator Admin.
Click Availability.
Click Configure on the Organisation Defaults card to begin adjusting your settings.
You will see three sections — Quick Panels, Quick Actions, and Quick Sections — each showing the current number of configured items.
Click Configure next to the section you want to manage.
In the panel that opens, browse or search the available items on the left.
Click + next to any item to add it to your configured list on the right.
For each configured item, use the pin icon to pin it, or the hide icon to hide it from users.
Click Save Changes when done. Changes take effect the next time your users load Navigator.
📌 Note: Some items may show an Access badge — these have been configured by Access on your behalf to ensure you get the best experience out of Navigator.
Common questions
Do I need a separate login?
No, use the same credentials you already use for your HR system.
Why can't I see something I'd expect to in My HR Details?
What you see depends on your organisation's setup and your individual permissions. Contact your HR team if something seems to be missing or not editable.
Something on my payslip looks wrong.
The app shows the payslip your employer published — it doesn't calculate the values itself. Contact your HR or payroll team.
My leave balance doesn't look right.
Your remaining balance includes both approved leave and pending requests. Pending requests reduce your visible balance until they're approved or rejected. If it still looks wrong, contact your HR team.
How do I cancel a leave request?
Cancel it from your Leave & Balances panel as long as the leave hasn't started yet. Once it has, contact your line manager or HR team.
Can I use navigator on my phone?
Yes. Everything in this guide is available on the Evo mobile app as well as in your browser.
I didn't receive a notification I was expecting.
Notifications appear in your Evo Feed; ones that need you to act sit in your Action Required list too. If you have the mobile app, you'll also get push notifications — check your mobile push settings if you're missing them.
A team member is missing from My Team.
My Team shows your direct reports as set up in Access Education People. If the reporting line is wrong, contact your HR team.
Can I download all my payslips at once?
Yes — in Payslip History you can download all available payslips, all for a tax year, or a selection.
Who do I contact if something isn't working?
For data questions (payslips, leave, documents, your team) — your HR team.
For technical issues with the navigator screen itself — [email protected].
