Delete a payscale from a negotiating body

Follow these steps to remove a payscale from a negotiating body starting with a certain date.

You may need to delete payscales from a negotiating body starting with a certain date.

Delete a payscale

To remove the payscale and amend the grade it belongs to:

  1. Go to Setup and click Settings.

  2. Click Module Settings, then Payroll Settings.

  3. Click Pay Grade and Payscale.

  4. Click the arrow icon on the negotiating body.

  5. Click New.

  6. Enter the effective date of the change in the New Effective Date field.

  7. Click the recycle bin icon on the payscale you need to delete.

  8. Amend the payscale values if needed.

  9. Click Save and Push Out Changes.

  10. Click the Grades tab.

  11. Select the grade that used to contain the payscale that is now deleted.

  12. Click Add.

  13. Add in the new effective date and select the lower and upper payscales.

  14. Make sure the previous effective date also has the correct lower to upper payscales.

    • Do not delete this previous date.

  15. Click Save.


Example

Let's say Grade 1 for 01/04/2025 has a lower Payscale 1 and upper Payscale 2.

Then, starting with 01/04/2026, Payscale 1 becomes obsolete and needs to be deleted.

In this case, you will need to:

  1. Add a new effective date 01/04/2026 to the negotiating body and remove Payscale 1.

  2. Edit Grade 1 to add a range of lower Payscale 2 and upper Payscale 2, like in the screenshot below.

What happens to employees' salaries after this change?

Looking at the same example as above:

Employees on Payscale 1

When you push out the changes, employees who were on Payscale 1 previous to 01/04/2026 will not have a salary line generated. This is because their payscale is now no longer existing.

You will need to add a new salary line manually in order to move them to Payscale 2:

  1. Go to the employee's profile and click Payroll, then Pay.

  2. Click Pay History.

  3. Click Add Payment (Admin - Unrestricted).

  4. Add the new effective date (in this example, 01/04/2026).

  5. Select the correct payscale (in this example, Payscale 2) and enter all other pay details as needed.

  6. Click Save.

Employees on Payscale 2 and above

Employees who were on Payscale 2 or upwards will have a salary line generated and no manual changes need to be done.
