We're delighted to share with you your first People Standard Analytics dashboards, which are included for you within Access Evo. This first version is focused on leave and sickness and this document and the accompanying video guide you through what is included in your Standard Dashboards.
What is Access Analytics?
Access Analytics is a business intelligence tool integrated within Access Workspace. You can view and create data visualisations that pull data from Access software and third party systems.
What are the key features of Access Analytics?
Have a look at the key features of Access Analytics:
You can explore and interrogate your data in the form of data visualisations, such as Bar, Line and Pie charts, Tables, Scatter diagrams and KPI cards.
You have an easy way to create and share data visualisations, in the form of Insights and Dashboards.
You're offered the ability to consume ready made dashboards over their Access product data.
Fully integrated with Access Data Engine (a data warehouse and ETL tool).
Native Access Evo integration giving you the ability to show the dashboard and charts in Access Workspace tabs and Access Evo Apps.
Security model allows content to be permissions to individual users and user groups.
Analytics is developed by the Access Group so we're constantly improving the product and adding new capability which helps us provide you with your data in the best way, to understand and interrogate it.
We're working on future dashboards to cover other key uses of the People solution such as Rota Financials and Workforce Management.
We detailed the features of Analytics in a webinar and the Learning material in Access WorkEvo space. The focus of these release notes is the People Insights now available to your in your leave and sickness dashboards.
We designed the dashboards to show all employee data so they need to be offered those users who have those permissions in your organisation. We plan to add a future enhancement to limit data visibility based on your user’s People profile.
People leave and sickness dashboards
The following sections describe the Insights available covering sickness and leave.
You have now access to dashboards for each, one covering employees with leave or sickness schemes in hours, the other in days. If you don’t have any employees with these schemes, the dashboard will not populate. You can choose to only give the relevant dashboard to your users through your Analytics Admin tools. Following the Insights descriptions we also include the other features you can take advantage of in Access Workspace, to explore your Insights.
People leave dashboard
Below you can see the key details of People leave dashboard:
You have a single page view of leave statistics with high-level metrics into which you can drill for more granular detail.
Insights show data either over a 12 or 24 month period, this is indicated in the tooltip on each Insight.
The intended audience for this dashboard is Head Office focusing on HR and Operations who'd be reviewing and reporting on leave across the estate.
The dashboard should only be offered to manager or admin users who have permission to see all employees across the entire estate.
Leave KPI Insights
Shows a cross section of individual metrics relating to employee's leave, at a company level, over the last 365 days. The leave scheme an employee is set up with will define whether they appear on the Days or Hours Dashboard.
Filters can be applied using the Filters Tab, such as Section, Date and Leave Type.
(Cumulative Approved absence at this date in this calendar year, compared to this date in last calendar year.)
Leave drillable Insights
Your drillable Insights allow you to not only view key data at the level shown on the dashboard, but also, on selecting an area of data on the Insight, to be able to drill down using the available drill down capabilities, as shown in the example below.
You can also:
Download an image of the Insights.
Show data for the Insight, which can also be downloaded.
Toggle Size – to increase the size of the Insight.
Apply Filter – select a section of the Insight data and apply a filter which will apply to the entire Dashboard, where relevant.
Leave taken by month
Time period: All leave taken over the last 24 months, grouped by month taken.
Purpose: Designed to help identify trends relating to employees leave which can help manage peak times and resource planning.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view.
Additional Features: Scroll bar allows you to focus on key parts of the year.
Leave by type
Time period: All leave taken over the last 12 months, grouped by leave type.
Purpose: Designed to help understand the split of types of leave requested and allows you to focus on a particular type of leave.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view.
Additional Features: Once drilled down, select ‘Show Other’ from the menu to show a Leave Days Type Summary view.
Leave type by division
Time period: All leave taken over the last 12 months, grouped by Division and leave type.
Purpose: Designed to help understand the types of leave requested and allows you to focus on the type comparison across your organisation.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Additional Features: Once drilled down, select Show Other from the menu to show a Leave Days Type Summary view.
Note: If you wish to see this chart at Department level you can create your own Dashboard and add the Department level Insight.
Average time to approve leave by month
Time period: All leave approved over the last 24 months, grouped by approved month.
Purpose: Designed to help understand which months are problematic for holiday approval and focus on the areas of your organisation who are impacting this.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view
Additional Features: Scroll bar allows you to focus on key parts of the year
Average time to approve leave by division
Time period: All leave approved over the last 12 months, grouped by approved Division.
Purpose: Designed to help understand which divisions are problematic for holiday approval and focus on the areas of your organisation who are impacting this.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Note: If you wish to see this chart at Department level you can create your own Dashboard and add the Department level Insight.
Remaining leave by post
Time period: Remaining holiday not booked, from the expected total that would be accrued in this holiday scheme period, grouped by employee’s post.
Purpose: Designed to help understand which months are problematic for higher than average levels of remaining leave and focus on the Areas of your organisation who are impacting this.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view
Additional Features: Scroll bar allows you to focus on key parts of the year.
Note: Holiday entitlement is rounded to the 1/2 day, in the same way as the Holiday Information Report.
Remaining leave by division
Time period: Remaining holiday not booked, from the expected total that would be accrued in this holiday scheme period, grouped employees by Division.
Purpose: Designed to help understand which Divisions are problematic for higher than average levels of remaining leave and focus on the areas of your organisation who are impacting this.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Additional Features: Scroll bar allows you to focus on key parts of the year.
Note: Holiday entitlement is rounded to the 1/2 day, in the same way as the Holiday Information Report.

Rejected leave by division
Time period: All rejected leave over the last 12 months, employees grouped by Division.
Purpose: Designed to help understand where they may be high volumes of rejected leave and focus on the areas of your organisation who are impacting this.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Note: If you wish to see this chart at Department level, you can create your own Dashboard and add the Department level Insight.
Pending leave by division
Time period: All pending leave over the last 12 months, employees grouped by Division.
Purpose: Designed to help understand where they may be high volumes of pending leave and focus on the areas of your organisation who are impacting this.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Note: If you wish to see this chart at Department level, you can create your own Dashboard and add the Department level Insight.
People sickness dashboard
The sickness dashboard provides a single page view of sickness statistics with high-level metrics into which the user can drill for more granular detail.

Total sick days by division
Time period: All sickness over the last 12 months, grouped by Division.
Purpose: Designed to help understand the volumes of sickness and focus on areas of your organisation who are impacting this.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Note: If you wish to see this chart at Department level you can create your own Dashboard and add the Department level Insight.
Year on year (YOY) sickness trends
Time period: All sickness over the last 12 months, grouped by month and year.
Purpose: Designed to help understand sickness trends by month which may indicate problematic times through the year and support being able to focus on the causes for this.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view.
Sickness reasons by division
Time period: All sickness over the last 24 months, grouped by Division and Reason.
Purpose: Designed to help understand the sickness reason trends by Division.
Drill down: To Section, Sub-Section, Employee and detailed Report view
Additional Features: If you have more reasons than fit on the Key, a right and left arrow will appear to allow you to scroll through.
Note: If you wish to see this chart at Department level you can create your own Dashboard and add the Department level Insight.
Sickness by post
Time period: All sickness over the last 12 months, with employees grouped by Post.
Purpose: Designed to help understand trends in post and sick levels.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view.
Additional Features: A scroll bar will appear to allow you to focus on key posts.
Sickness by days of the week
Time period: All sickness over the last 12 months, with employees grouped by day of the week.
Purpose: Designed to help understand which days are problematic for sickness to help identify if there are reasons behind these.
Drill down: To Dept, Division, Section, Sub-Section, Employee and detailed Report view.
Open and closed sickness triggers by division
Time period: Sickness triggers breached over that last 12 months, with
employees grouped by Division and Trigger level.
Purpose: Designed to help understand the volume of triggers breached across division and the levels of these
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Note: If you wish to see this chart at Department level you can create your own Dashboard and add the Department level Insight.
If you don't have sickness triggers configured, this Insight will show No data available as below. Visit our Support Portal or speak to you CSM to find out more on sickness triggers.
Open sickness triggers by division
Time period: Sickness triggers breached which remain in an open state, over that last 12 months, with employees grouped by Division and Trigger level.
Purpose: Designed to help understand those areas in your business with triggers breached which remain open.
Drill down: To Section, Sub-Section, Employee and detailed Report view.
Note: If you wish to see this chart at Department level you can create your own Dashboard and add the Department level Insight.

Create your own Dashboard from Standard Insights
Analytics Administrators are able to create your own dashboards using the range of standard Insights. You can combine Sickness and Leave Insight or display an Insight from a level of the drill down. Once created, these can be added to Analytics User Groups to allow specific users access.
Add a dashboard to your Access Workspace
Analytics are available to your users in the Analytics Tab, launched from the 9 dot menu. They can also create their own Workspace and add any Dashboard, where they have been added to the User Group for that Dashboard.
Add in Insight to your Workspace
If an Analytics user would like easy access to specific Insights, they can add to their own workspace through the Workspace Analytics App. They can add as many as they like, on any of their own Workspace Tabs.
Assign dashboards to members or users
Analytics Administrators have the ability to control who can access which dashboards. Firstly a member should have the Analytics Role applied to them in Members. Then you can create flexible user groups which can have one or more Dashboards included, and assign the member to the User Group. As with all of these features, more detail on how to complete this is include in the Webinar and Learning.
