Set up the notification
To set up the notification:
Go to Setup and click Settings.
Click Notifications, then Add Notification.
Add a title in the Description field and select Date from the Type dropdown.
Select Person (Person) from the Table dropdown.
Select VisaEndDate from the Field dropdown.
Click Add Email.
Determine when the email will be send (for example, 1 month before the Visa end date).
Select the Recipients as needed and click Save.
Click Save on the notification.
Add Visa end dates
It's important to note that this notification will only get triggered by the field called Visa End Date, which is a field available when an employee's Eligibility to Work has been selected as 'Passport and Visa number'.
To add an employee's Eligibility to Work:
Search for the employee and go to their profile.
Click Person, then Profile.
Scroll down to Eligibility to Work and click Edit.
Below is the Visa End Date field that will trigger this notification:
The field Document Expiry that is available when the identification type is different than Visa will not trigger the notification.
Below is a field that will NOT trigger the notification:
If an employee has had a Visa End Date added previously after which their identification type has been changed to a different option, the system will remember their Visa End Date and the notification will still get triggered. To remove the Visa End Date, follow the steps above to access their Eligibility to Work page, click Edit and select the Visa option. Then, remove the Visa End Date and change the identification type back to what is previously was.
If an employee has never had a Visa End Date entered, or if it was added and then removed, the notification will not get triggered.
